1. Awareness of your own interaction with other people is the first step in improving your communication skills.

Learn to identify which types of situations make you uncomfortable and then modify your behavior to achieve positive results is a critical step in improving your communication skills.

You can learn to become aware of behaviors in other people that prompt you to respond in negative ways and modify your own behavior to turn the situation into a positive experience.

2. You must accept responsibility for your own behavior and do not fear apologizing for errors in judgment or insensitive actions.

Asking others for honest feedback about the way you interact with others can be very helpful. Accept the negative feedback along with the positive and make changes accordingly.

3. Your non-verbal communication is equally as important as the things that you say. Positive body language is extremely important in your interactions with other people.If your words and your actions do not match, you will have a difficult time succeeding in social situations.

6. If your email is requiring that the recipient perform some further action be very specific as to what action you are expecting the recipient to perform, and the exact time/date you expect the recipient to complete it.
7. Always try to send your email to ONE person, not to two or three. It’s OK to CC other people, but make sure it’s clear who the email is directed to.  Emails sent to two or three people end up getting ignored by all parties because each person feels it will be handled by the other party.
8. Always request confirmation of the recipients understanding such as I did in the beginning of this email.  It is a rule at my organization that my employees always note or respond to mine and other superior’s emails.  This is strongly recommended for everyone else in the organization.  Replying with a short “Noted” is perfectly acceptable as long as no other action is required on your part.  When writing to your superiors it is also OK to ask for confirmation of their understanding.  If this annoys them they will let you know.  If not, it will be taken as a reflection of your professionalism.  To reinforce, if you are writing to a peer, subordinate or subordinate team, always require confirmation of the recipients understanding.  Always confirm back emails to your superiors.
9. Do not complete the TO, CC or BCC section of the email until you have complete written the email AND attached all attachments. This will allow you to avoid embarrassing instances of sending emails without the attachments, or sending them by accident before you have finished the email.
10. Once you have completed the email, completely re-read the email one more time before sending. You will almost always catch a mistake or two.

1. Subject Line – Subject line should provide clear data about what is included in the email.
2. Use OUTLINE FORMAT whenever possible.
3. Your email should be CLEAR and CONCISE. Here is a good general format for the email to follow:
a) Provide the background or framework for the email.
b) Provide the details of the message/communication.
c) Say what the follow-up actions are you will now take and an exact date for when those follow-up actions will be done
d) Say what the follow-up actions you are expecting of the party receiving the email are and an exact date for when you expect those actions to be done.
4. Use visual aids like Snag-it to draw pictures and allow the recipient to understand clearly what you mean. If you do not know the program Snag-it then you should get to know it quickly.   It is of huge value in almost any industry.  Below is an example of how we use a visual aid in an email:
5. If you are referring to an attachment on the email, and there is more than one attachment, make sure you specify the exact name of the attachment you are referring to. That means you may need to re-name the file name of the attachment before sending.
